Need a roommate for the LVA Conference?

This year, we will again be arranging for roommates for those people who want to attend the conference and want to share the hotel expense. We were very pleased last year with the number of people who said that this service made their participation in the LVA conference possible. We have streamlined this process to be as efficient as possible, but to minimize the work involved. Here's how it works:

Identify the exact evenings you want to share your hotel room. Send an e-mail to [email protected]. On the subject line of your e-mail, please write "Roommate Request." Please remember, without all of the following information, the request will not be processed:

  1. Name
  2. Organization
  3. Day and evening phone number
  4. E-mail address
  5. The exact dates of the evenings you want a roommate
  6. Whether you want smoking or nonsmoking
  7. Since it is sometimes difficult to tell by a person's name if they are a man or woman, please help us to avoid any embarrassing moments by including this information in your e-mail.

Remember -- An e-mail that does not contain ALL this information cannot be processed. With the volume of requests, it would be very difficult for us to send three or four e-mails to someone requesting a roommate in order for us to obtain all the information we need. We will simply ask you to resend the e-mail with the complete information.

Here's what will happen:

  1. You will receive an e-mail confirming you are on the roommate list.
  2. When there is a potential match, we will put the two of you in touch with one another so you can determine if there is a match.
  3. Both your names are automatically removed from the roommate list.
  4. If there is NO match, you must contact us to be put back on the list.

Here are some ground rules:

  1. We cannot be responsible for the matches.
  2. You are responsible for your own hotel reservation. We suggest that you make the reservation early.
  3. When and if a roommate is found, you can call the hotel and revise the reservation.
  4. You are responsible for working out how the expenses for the room will be managed between you and your roommate.

Remember � If you send us incomplete information, you cannot be added to the roommate list.
